Terms & Conditions

Thank you for choosing AuRay Adventures and travel advisor Carrie Hamilton to assist with your travel planning. These Terms & Conditions outline the responsibilities of both the traveler ("you" or "your") and AuRay Adventures ("we," "us," or "our"). By making a reservation, submitting payment, or purchasing travel services through AuRay Adventures, you acknowledge and agree to these Terms & Conditions.

PASSPORTS & TRAVEL DOCUMENTS

All travelers, including infants and children, must possess a valid passport for international air travel. Passport cards are not accepted for international air travel.

Many destinations require passports to remain valid for at least six (6) months beyond your return date. Failure to comply with passport requirements may result in denied boarding, denied entry, cancellation of travel services, or additional travel expenses.

AuRay Adventures is not responsible for obtaining, reviewing, or validating passports, visas, or other required travel documentation. It is the traveler's responsibility to ensure all required documents are accurate, valid, and available throughout travel.

HONEYMOON & ANNIVERSARY TRAVEL

Many resorts offer complimentary honeymoon or anniversary amenities. Travelers may be required to present a marriage certificate upon arrival to qualify.

Please notify your travel advisor if you are celebrating a honeymoon or anniversary so the appropriate notation can be added to your reservation. Eligibility requirements vary by supplier and property and are typically limited to travel within thirty (30) days before or after the special occasion.

RESERVATION CHANGES

Any changes made to an existing reservation are subject to current pricing, promotions, availability, and supplier terms in effect at the time the change is requested. Additional charges may apply.

PROFESSIONAL SERVICE FEES

Carrie Hamilton and AuRay Adventures reserve the right to charge professional service fees for travel planning, itinerary design, research, consultation services, booking modifications, cancellations, supplier changes, and other travel-related services.

Service fees are separate from supplier charges, penalties, and travel costs and compensate AuRay Adventures for professional time, expertise, and services rendered. Applicable service fees may be non-refundable.

FINAL PAYMENT

Final payments are not automatically processed unless otherwise arranged. Travelers are responsible for making payments by the specified due dates.

Although AuRay Adventures may send courtesy reminders, failure to receive a reminder does not relieve the traveler of payment obligations. Reservations may be canceled by suppliers for nonpayment, and applicable penalties may apply.

CANCELLATIONS & REFUNDS

If you need to change or cancel your travel arrangements, please contact AuRay Adventures as soon as possible.

Cancellation penalties, refund policies, and change fees vary by supplier and are governed by the terms and conditions of the travel provider. Travelers are responsible for reviewing these policies prior to booking.

TRAVEL INSURANCE

Travel insurance is strongly recommended.

Certain coverage options, including Cancel for Any Reason (CFAR) insurance, may only be available at the time of initial deposit or within a limited timeframe after booking. Insurance information and pricing will be provided when available.

Travelers are responsible for accepting or declining travel protection coverage.

Travelers who decline travel insurance assume responsibility for any losses, cancellations, interruptions, medical expenses, supplier default, travel delays, or other unforeseen events that may occur.

PRICE CHANGES

Travel suppliers reserve the right to increase prices due to fuel surcharges, increases in government taxes or fees, currency fluctuations, supplier-imposed charges, or other factors beyond the control of AuRay Adventures.

Price quotes are not guaranteed until deposits or full payment have been received and accepted by the travel supplier.

Unless otherwise prohibited by law, travelers are responsible for any such increases imposed by suppliers after booking. AuRay Adventures will make reasonable efforts to notify travelers of any changes as soon as possible.

PAYMENT AUTHORIZATION & CHARGEBACKS

By providing payment information, travelers authorize AuRay Adventures to process payments for approved travel arrangements and related travel services.

If concerns arise regarding any charge, travelers agree to contact AuRay Adventures directly to seek resolution prior to initiating a credit card dispute or chargeback.

Chargebacks for properly authorized travel purchases may result in cancellation of travel services, collection activity, recovery of associated costs and fees, and legal remedies as permitted by law.

TRAVEL DOCUMENTS

Travel documents are typically provided approximately seven (7) to ten (10) days prior to departure, depending on the supplier.

Travelers are responsible for reviewing and approving all travel documents immediately upon receipt, including:

Passenger names
Travel dates
Flight information
Resort or cruise details
Destination information

Any discrepancies must be reported immediately.

Boarding passes are generally obtained directly through the airline during online check-in or at the airport.

TRAVELER RESPONSIBILITIES

Travelers are responsible for:

Arriving at airports, ports, stations, and scheduled departures on time.
Monitoring airline schedules and travel notifications.
Maintaining valid travel documents.
Complying with local laws and regulations.
Meeting all health, entry, and exit requirements.
Reviewing travel documents for accuracy.
Obtaining recommended vaccinations or medical advice when appropriate.

Failure to fulfill these responsibilities may result in denied boarding, denied entry, missed departures, additional expenses, or cancellation of travel services.

HEALTH & TRAVEL ADVISORIES

Travel requirements, health protocols, and entry regulations may change at any time and vary by destination, supplier, or government authority.

Travelers are responsible for understanding and complying with all applicable requirements, including but not limited to:

Entry requirements
Vaccination requirements
Health screenings
Testing requirements
Quarantine regulations
Local laws and regulations

Public locations, transportation providers, hotels, airports, and attractions may present inherent health risks. By traveling, travelers voluntarily assume these risks.

Any additional expenses related to health requirements, testing, quarantines, delayed travel, denied entry, or changes in regulations are the sole responsibility of the traveler.

AuRay Adventures is not responsible for changes in travel restrictions, government regulations, supplier policies, or the availability of transportation, accommodations, dining, activities, or excursions.

CDC & DESTINATION HEALTH INFORMATION

Travelers are encouraged to review current health advisories and destination information issued by government agencies prior to travel.

ZIKA VIRUS ADVISORY

Certain destinations may have advisories related to the Zika virus or other communicable diseases. Travelers should consult their healthcare provider and review current health guidance prior to travel.

AIR TRAVEL & HAZARDOUS MATERIALS

Federal law prohibits the transportation of hazardous materials aboard commercial aircraft. Prohibited items may include:

Explosives
Flammable liquids
Compressed gases
Corrosives
Toxic substances
Certain batteries and chemicals

Violations may result in substantial fines or criminal penalties.

Travelers should review current airline and TSA regulations before departure.

TRAVELING WITH MINORS

Children under the age of eighteen (18) traveling without both parents or legal guardians may be required to carry notarized consent documentation.

Requirements vary by destination and airline. Parents and guardians are solely responsible for obtaining and carrying all required documentation.

AuRay Adventures is not responsible for denied boarding or travel disruptions resulting from insufficient documentation.

BAGGAGE FEES

Airline baggage policies and fees frequently change.

Checked baggage fees, carry-on fees, seat assignment fees, and other airline-imposed charges are not included unless specifically stated in your reservation.

Travelers should verify current baggage policies directly with their airline prior to departure.

AIRLINE SCHEDULE CHANGES & CANCELLATIONS

Airlines may change schedules, aircraft, routing, or cancel flights at any time.

While AuRay Adventures will make reasonable efforts to assist travelers in resolving schedule disruptions, these decisions remain solely within the control of the airline.

Additional costs resulting from airline schedule changes, cancellations, or rebooking requirements are the responsibility of the traveler unless otherwise covered by the airline or travel insurance.

Travelers are responsible for monitoring their flights prior to departure.

FLIGHT RECONFIRMATION

Travelers are encouraged to reconfirm flight schedules directly with their airline within twenty-four (24) hours of departure.

Most airlines allow online check-in beginning twenty-four (24) hours before departure using the airline confirmation number provided with travel documents.

Passengers should arrive at the airport at least two (2) hours before domestic flights and three (3) hours before international flights unless otherwise advised by the airline.

SPECIAL REQUESTS

Requests for specific room locations, adjoining rooms, bedding preferences, accessibility accommodations, dietary needs, early check-in, late check-out, or other special requests are communicated to suppliers as a courtesy.

AuRay Adventures cannot guarantee that any special request will be honored, as fulfillment is solely at the discretion of the travel supplier.

RESORT CHECK-IN

Standard resort check-in times are generally 3:00 p.m. local time, although policies vary by property.

Guests arriving before official check-in may be able to store luggage and enjoy resort amenities while waiting for their accommodations to become available.

DRESS CODES

Certain resorts, cruise lines, restaurants, excursions, and other travel experiences may enforce dress codes.

Travelers are responsible for reviewing applicable dress requirements before departure.

SUPPLIER FINANCIAL DEFAULT

AuRay Adventures acts solely as an intermediary between travelers and travel suppliers. AuRay Adventures is not responsible for the financial condition, insolvency, bankruptcy, or operational failure of any airline, cruise line, hotel, tour operator, transportation provider, or other travel supplier.

Any refunds, credits, or compensation resulting from supplier insolvency or financial default shall be subject to the policies of the supplier and any applicable travel insurance coverage.

Travel insurance is strongly recommended to help protect against supplier default and other unforeseen events.

FORCE MAJEURE

AuRay Adventures shall not be liable for any cancellation, delay, interruption, injury, loss, damage, or additional expense resulting from circumstances beyond its reasonable control, including but not limited to:

Acts of God
Natural disasters
Hurricanes, floods, wildfires, or severe weather
Pandemics or epidemics
Government actions or travel restrictions
Political unrest or civil disturbances
Labor strikes
Acts of terrorism
Transportation interruptions
Supplier insolvency
Mechanical failures
Other unforeseen events

In such circumstances, refunds, credits, or compensation shall be governed solely by the policies of the travel supplier and any applicable travel insurance coverage.

PHOTOGRAPHY & TESTIMONIALS

AuRay Adventures may use photographs, reviews, testimonials, or other content voluntarily shared by travelers for marketing or promotional purposes, including social media, websites, and advertising materials.

Travelers who prefer not to have their content used may notify AuRay Adventures in writing.

LIMITATION OF LIABILITY

AuRay Adventures acts solely as an independent travel advisor and agent for travel suppliers, including airlines, hotels, cruise lines, tour operators, transportation companies, and other service providers.

AuRay Adventures does not own, operate, manage, or control these suppliers and is not responsible for their acts, omissions, negligence, financial default, bankruptcy, delays, injuries, losses, damages, accidents, schedule changes, or service failures.

By booking travel through AuRay Adventures, travelers acknowledge that all travel involves inherent risks and agree to hold AuRay Adventures and Carrie Hamilton harmless from claims arising from supplier actions, travel disruptions, government actions, weather events, health events, or circumstances beyond our control.

Any liability of AuRay Adventures, if established, shall be limited to the amount of professional service fees paid directly to AuRay Adventures.

GOVERNING LAW

These Terms & Conditions shall be governed by and interpreted in accordance with the laws of the State of Colorado, without regard to its conflict of law principles.

Any disputes arising from these Terms & Conditions or travel arrangements made through AuRay Adventures shall be subject to the exclusive jurisdiction of the courts located within the State of Colorado.

ACCEPTANCE OF TERMS

By making a reservation, submitting payment, electronically approving travel arrangements, or traveling on a reservation arranged by AuRay Adventures, you acknowledge that you have read, understand, and agree to these Terms & Conditions.

Electronic acceptance, payment authorization, or use of travel services shall constitute acceptance of these Terms & Conditions.
